How INDICA works with filerskeepers

INDICA manages data containers throughout their useful life. This allows you to do virtually anything with your data. INDICA does not only allow organizations to identify, classify and clean Redundant, Obsolete and Trivial (ROT) data objects. With advanced personal data detection tools and the automated records of processing activities functionality you can manage and mitigate any risks associated to your data. INDICA and filerskeepers offer a powerful privacy and ROT data cleaning solution through the following steps:

  • Step 1: Index the data source

The INDICA platform connects to all required digital assets. It indexes all textual content within the data objects and analyses the metadata attached to it.

  • Step 2: Define specific retention period using filerskeepers integration

With the filerskeepers integration you can define what retention obligations apply to your data objects.

  • Step 3: Apply retention rules

INDICA will use filerskeepers data retention content to identify what data objects are ready to be removed from the data landscape.

  • Step 4: Delete ROT data

INDICA automatically creates a list with all data objects to be removed from the data landscape. This list can be used by IT to execute the data deletion.

  • Step 5: Automate the retention process

After having deleted the first bulk of data, INDICA can automatically execute this retention process on a regular basis together with your IT department to keep the data landscape clean.

One of the key elements that supports the implementation of data cleaning processes is the workflow feature. The workflow consists of different stages, which are fully customizable. Data objects are assigned to these stages, examples of stages are ‘to be reviewed’ or ‘to be deleted’. Within a stage, buckets are made to split up the workload. A user can be assigned to review a specific bucket within a phase. By using the INDICA platform, authors will not need to go through all their existing documents and data manually. They will be presented with the data and documents they need to review through the platform. By allowing users to tag data objects rather than delete them manually, deletion processes can be automated, saving time.
