Overview
INDICA and filerskeepers get you in control of your complete data landscape. Combining INDICA’s data management platform with filerskeepers’ vast knowledge of retention periods allows you to only keep the data you need.
About INDICA
INDICA offers data management software that connects to all digital assets and indexes all structured and unstructured data. It is equipped with an extensive set of tools to detect, analyze and monitor privacy sensitive and outdated data. This enables to automatically manage, migrate, govern access to and clean all types of documents. INDICA is now enriched with filerskeepers’ retention database, allowing to identify documents to be cleaned even quicker.
“INDICA allows to efficiently clean old data. With filerskeepers we can now make it even easier to define what data is too old.” – Pieter ScherpenHuijsen (Co-founder and CTO with INDICA)
How INDICA works with filerskeepers
INDICA manages data containers throughout their useful life. This allows you to do virtually anything with your data. INDICA does not only allow organizations to identify, classify and clean Redundant, Obsolete and Trivial (ROT) data objects. With advanced personal data detection tools and the automated records of processing activities functionality you can manage and mitigate any risks associated to your data. INDICA and filerskeepers offer a powerful privacy and ROT data cleaning solution through the following steps:
- Step 1: Index the data source
The INDICA platform connects to all required digital assets. It indexes all textual content within the data objects and analyses the metadata attached to it.
- Step 2: Define specific retention period using filerskeepers integration
With the filerskeepers integration you can define what retention obligations apply to your data objects.
- Step 3: Apply retention rules
INDICA will use filerskeepers data retention content to identify what data objects are ready to be removed from the data landscape.
- Step 4: Delete ROT data
INDICA automatically creates a list with all data objects to be removed from the data landscape. This list can be used by IT to execute the data deletion.
- Step 5: Automate the retention process
After having deleted the first bulk of data, INDICA can automatically execute this retention process on a regular basis together with your IT department to keep the data landscape clean.
Benefits of using both INDICA and filerskeepers
INDICA offers powerful benefits to businesses wishing to carry out automated data retention.
Live data connections
INDICA can connect to all requested data sources. It indexes the data objects and its textual content. INDICA does this continuously, meaning that it allows to monitor the live data landscape.
Single query engine with federated search
INDICA has a robust search engine that enables to search through all connected data sources and to get results ranked to relevance. It had advanced query and filtering capabilities to make sure one only gets relevant search results. The document previewer allows to analyze, review, tag and redact a document without making changes to the document itself.
OCR engines
INDICA is equipped with powerful OCR engines. Therefore, INDICA does not only index and analyze text documents, but also PDFs and images without OCR.
Saving time with the workflow feature
One of the key elements that supports the implementation of data cleaning processes is the workflow feature. The workflow consists of different stages, which are fully customizable. Data objects are assigned to these stages, examples of stages are ‘to be reviewed’ or ‘to be deleted’. Within a stage, buckets are made to split up the workload. A user can be assigned to review a specific bucket within a phase. By using the INDICA platform, authors will not need to go through all their existing documents and data manually. They will be presented with the data and documents they need to review through the platform. By allowing users to tag data objects rather than delete them manually, deletion processes can be automated, saving time.
No interruption of your IT systems
The INDICA platform works as an additional layer on top of your existing system architecture and gives you different insights to be used to effectively clean legacy data. Next to that, it can also be used as an enterprise search platform. This will help your employees find the information they are looking for, increasing employee productivity and reducing the need for unvetted data exchange platforms. This new central view of your data and information landscape helps manage it in a cost-efficient and ethical way.
Mitigate cybersecurity risks
INDICA shows you the factual access rights to data objects. This way, you are able to determine whether these are still up to date and compliant to policy. In practice, access rights often do not match the design that is made on paper. Through the INDICA platform, you can identify which data objects can be accessed by large numbers of users and mitigate high risks.
Why we love INDICA
Part of the data lifecycle is assessing risks and to delete files once they are no longer needed. If data is not managed: hidden data leads to hidden risks. If kept beyond the lifecycle this will lead to unnecessary complexity and costs, forcing your highly paid staff to search for accurate info. INDICA offers both a powerful and easy to use tool that will tell you very quickly to assess and manage your unstructured and structured data, and determine which data is ROT and is ready to be cleaned. filerskeepers is particularly fan of INDICA’s ability to relate data to user identities which allows for more accurate and compliant retention. Say goodbye to your costly, inefficient and non-compliant ROT data! Say hello to being in control of your data landscape!
